  SECURING EMAIL CLIENTS - FAQ

  Q. What changes are taking place?

  A. Effective June1, all e-mail servers on the DSU campus must be authorized. Network communications for reading and sending e-mail must take place over encrypted connections, and access for reading or sending e-mail must be authenticated by the server. These changes will bring DSU into compliance with the recently updated and approved NDUS Policy 1901.2: Computer and Network Usage.

  Q. Who will be affected by these changes?

  A. All e-mail users will be required to enable a secure IMAP connection in their e-mail clients. Secure IMAP encrypts your connection so that information sent over the connection cannot be viewed and/or manipulated by a third party attempting to tap into the network. See instructions below to set up your e-mail client.

  Q. I have configured my personal e-mail client software to send work-related e-mail from home using my ISP’s mail server. How will these changes affect the work-related e-mail I send from home?

  A. You may suddenly find you are unable to read or send e-mail. You should configure your work account on your personal e-mail client to connect to DSU's e-mail servers and enable secure IMAP and secure SMTP. See directions below. If you have other accounts on your personal e-mail client (accounts such as Yahoo!, gmail, Hotmail, etc.) the configuration of those accounts on your personal e-mail client does not need to be changed. Only the @dsu.edu accounts and other DSU work-related accounts need to be changed.

  Q. What should I do if I am suddenly unable to read or send e-mail?

  A. Call the Computer Services Help Desk at 483-2838

  SSL Configuration for the Netscape (Mozilla) client:

          1. Click Edit then Preference

          2. In the left panel, drop down Mail & Newsgroups click Mail Servers

          3. In the right panel, select smtp.ndsu.nodak.edu in the Incoming Mail servers window and click Edit

          4. Click the IMAP tab and check Use secure connection (SSL). Click OK to close the windows

          5. Accept the certificate.

              Depending on the version of your Netscape or Mozilla program, your  Inbox  may be moved to be "mbox" in your home directory. Click File and Subscribe to subscribe to that "mbox" folder

 

  SMTP Configuration for Netscape (Mozilla) client:

         1. From the Edit menu select Mail & Newsgroups Account Settings…

         2. Select Outgoing Server (SMTP)

         3. If the Server Name: field does not display smtp.dsu.nodak.edu, you will need to press the Advanced… button, select smtp.dsu.nodak.edu and press the Edit… button in order to make the changes described next

         4. Enable Use name and password and enter your user name in the User Name field. Choose Always

         5. Click OK

         6. If you had to use the Advanced Settings dialog, click OK two more times

 

  Setting up SSL in Outlook:

         1. From the Tools menu, select Email Accounts

         2. Select View or change existing email accounts and click Next

         3. Select the e-mail account that corresponds to your school e-mail account and click Change or  Properties

         4. Take note of the information filled out in the Outgoing mail server (SMTP) field, but do not change it. Click the More Settings button

         5. Click the Advanced tab. Under the Incoming mail field, check the box that says This server requires an encrypted connection (SSL)

         6. Check the box that says This server requires an encrypted connection (SSL) under the Outgoing mail (SMTP) field

         7. Click OK

         8. Click Next

         9. Click Finish

       

  Secure SMTP Configuration in Outlook:

         1.From the Tools menu, select E-mail Accounts

         2.Select View or change existing e-mail accounts and click Next

         3.Select the e-mail account that corresponds to your school e-mail account and click Change or Properties

         4.Click the More Settings button

         5.Click the Outgoing Server tab.

         6.Check the box next to My outgoing server (SMTP) requires authentication and choose Use name settings as my incoming mail server

         7.Click OK

         8.Click Next

         9.Click Finish

  Setting up SSL in Eudora for Macintosh:

        Beginning with version 5.1, Eudora now supports SSL connections for POP3, SMTP, and IMAP4. Eudora 5.1 is set by default to use SSL if available.

        1.To access the SSL settings open the Personalities window by clicking Tools > Personalities

        2. Once the Personalities window is in view, right click the desired Personality and select Properties Note that Eudora is already set to If Available, STARTTLS. STARTTLS is the command that is sent to the server to tell it that you wish to use SSL for the mail transaction The Generic Properties tab is used to set the SSL options for sending mail (SMTP). Use this option: Required, STARTTLS -- tells Eudora that the use of SSL is required

       3. The SSL options for POP3 and IMAP4 are located on the Incoming Mail tab The port settings are: SMTP -- uses port 587 IMAP -- uses port 993 These ports can be changed through the use of settings added to eudora.ini, but in most cases changing these should not be required.

  Secure SMTP Configuration Eudora: If available, Secure SMTP is in the default configuration for Eudora. No further action is necessary.

 

  Setting up SSL in Eudora for Windows

        Beginning with version 5.1, Eudora now supports SSL connections for POP3, SMTP, and IMAP4. Eudora 5.1 is set by default to use SSL if available.

       1. To access the SSL settings open the Personalities window by clicking Tools > Personalities

       2. Once the Personalities window is in view, right click the desired Personality and select Properties Note that Eudora is already set to If Available, STARTTLS. STARTTLS is the command that is sent to the server to tell it that you wish to use SSL for the mail transaction The Generic Properties tab is used to set the SSL options for sending mail (SMTP). Use this option: Required, STARTTLS -- tells Eudora that the use of SSL is required

       3. The SSL options for POP3 and IMAP4 are located on the Incoming Mail tab

       4. Normally, Eudora will use SSL on the standard port for that service (25 for SMTP and 143 for IMAP). The ports used by the Alternate Port settings are: SMTP -- uses port 587 IMAP -- uses port 993 These ports can be changed through the use of settings added to eudora.ini, but in most cases changing these should not be required.

  Secure SMTP Configuration: If available, Secure SMTP is in the default configuration for Eudora. No further action is necessary.
